Auto Attendant Setup Instructions

A key part of your new Equiinet system is the Auto Attendant feature. 

If you want to utilize Auto Attendant, you will need to provide us your “script”.  The following will help guide you through this process.  If you don’t want Auto Attendant, just write “None Required” in the box that says “Please provide Script”.

  • AutoAttendant is a system that provides an automated message, or more than one, prior to sending a caller to an extension, department or person.
  • Example 1: You call a business. You hear:

“Welcome to ABC Plumbing. If you know your party’s extension please dial it now. Otherwise press 0 for an operator”.

  • Example 2:  You call a business. You hear:

“Welcome to ABC Plumbing. All calls may be recorded for quality control and training purposes. If you know your party’s extension please dial it now. Otherwise press 0 for an operator”.

 

  • Auto Attendant can enable a caller to direct his/her own call to an extension or to a department or to a person, without involving a receptionist.
  • Example 1:

“Welcome to ABC Plumbing. If you’d like to speak to Sales, press 1. If you’d like to speak to Accounting, press 2. If you’d like to leave a message in our general mailbox, press 3.”

  • Example 2:

“Welcome to ABC Plumbing.  If you’d like to speak to an operator, dial 0 at any time. If you’d like to speak to Robert Main, our President, please press 1. If you would like to speak to Accounting, please press 2. If you’d like to be transferred to our Dispatch Supervisor, please press 3.  If you’d like to leave a message in the general mailbox, please press 4.”

 

  • Auto Attendant also has “After-Hours” Settings.  Once you’ve identified what your normal business hours are (Welcome Aboard packet, page 1) setting an After Hours Auto Attendant can be used to leave a message on voicemails or route to .

 

Examples:  Your caller calls after 5:00PM and your After-Hours Auto attendant  can deliver any of these messages:

“Welcome to ABC Plumbing. You’ve reached us after our normal hours. Press 0 to leave a message in our general mailbox.”

“Welcome to ABC Plumbing. You’ve reached us after our normal hours of 8:30 am to 5:00 PM.  If you know your party’s extension, you may dial it now.  Otherwise, press 0 to leave a message in our general mailbox.”

“Welcome to ABC Plumbing. You’ve reached us after our normal hours of Monday thru Friday, 8:30 am to 5:00 PM. If you know your party’s extension, you may dial it now to leave a message for your party.  Otherwise, press 0 to leave a message in our general mailbox. If this is a technical emergency, press 8 to be transferred to Emergency Customer Support.”
